How the fee works

An invoice passes 60 days late
Everything older than the threshold in your agreement, 60 days past due unless we agree otherwise.
We contact the customer
The fee only applies to customers who had heard from us before they paid.
The payment reaches your books
Real cash only. Credits, write-offs and adjustments never count.

At the rate in your quote, listed line by line on a monthly fee invoice.
What's never billed
If we can't claim it, we don't bill it.
The rules are built into the software that makes your fee invoice, and your Overview shows why any late payment does or doesn't carry a fee.
- Held-back accountsPayments from accounts in the holdout test carry no fee while they're held back.
- Customers we hadn't contactedIncluding payments dated the same day as our first email: those were already on their way.
- Younger invoicesInvoices under your agreed threshold, unless your quote says otherwise.
- Credits and adjustmentsOnly real cash counts, never a credit note or a write-off.
- Accounts placed with an agencyOnce you hand an account over, we stop and never bill it.
- Reversed paymentsA payment that bounces or is reversed comes off your next fee invoice.

Why only invoices more than 60 days past due?
That's where steady follow-up makes the most difference and where your team has the least time. Younger invoices get the same careful reminders. Whether they carry a fee, usually a lower one, is up to you and set out in your quote.
What if a customer would have paid anyway?
Two protections. First, payments only count if we had contacted the customer before they paid, and a payment dated the same day as our first email doesn't count. Second, the holdout test holds back a random share of accounts and doesn't bill them during the test, so you can see what the others would have paid without us.
How are we billed?
Once a month you get a fee invoice listing every payment behind the fee: customer, invoice, how late it was and the amount. If a payment is later reversed, the fee comes off your next invoice.
What does the rate depend on?
Mostly on the size and age of your overdue balance and on how many accounts it's spread across. The quickest way to a firm number is a free Cash Leak Scan of your aging report.
Is anything paid up front?
No. There's no setup fee and no software to buy. Connecting your books and mailbox and the review week cost nothing.
